The problem
In a single plant, hundreds of assets are inspected every year, often on a fixed cycle, for integrity, quality and audit reasons. Across a multi-site group, that adds up to thousands of inspections: NDT campaigns, thickness surveys, integrity tests, requalifications, OEM health checks, third-party files. Each report is correct. Together, in hundreds of heterogeneous PDFs spread across shared drives, mailboxes and site folders, they are almost impossible to use. When someone asks "what is the real condition of this vessel, how has it degraded, and what is due next?", the honest answer takes hours of manual searching.
The people who need this information are not the same. On the ground, the maintenance, methods or inspection lead needs a clear summary per asset and a reliable tracking file. At head office, the technical direction needs to steer a base of equipment spread across several plants, with KPIs that match how the company actually works. Today, both rebuild that picture by hand, again and again, from the same reports.
That head-office view is the hardest part: tracking the condition of an entire base, sometimes thousands of assets across several sites, and how each one degrades over time. In practice
Picture a company with several plants and a long shelf of inspection PDFs: thickness surveys on piping loops, external inspections on pressure vessels, tank bottom reports, and OEM health checks on rotating and process equipment. Nobody disputes that the reports are good. The problem is that answering "what is the state of loop 12 across the last three campaigns?" means opening a dozen files by hand.

Record-keeping
Inspection programs for static equipment run on documented records. Under the API in-service inspection codes (API 510 for pressure vessels, API 570 for piping, API 653 for aboveground storage tanks), owner-users are expected to keep inspection results, thickness data and interval decisions on file, and many operators drive those intervals with risk-based inspection methodology (API 580 and API 581). A per-asset synthesis backed by a structured tracking file makes that history easy to hold, retrieve and defend, because every finding already sits with its asset, its date and its next due action.
The same logic applies to process safety obligations. Under OSHA Process Safety Management (29 CFR 1910.119), the mechanical integrity element requires that inspection and test records be maintained for covered equipment. NDT personnel qualification follows recognized schemes such as ASNT SNT-TC-1A or ISO 9712. LCC does not certify agents or perform inspections; it consolidates the records those certified agents and providers produce, so the evidence stays complete and audit-ready.
